Final abstract submission

THE FINAL DEADLINE FOR EXTENDED PAPER UPLOADS HAS PASSED

After the review process has ended we have sent out confirmation notices to all submitting authors on June 15th.

If you have submitted a paper but not received notification on its acceptance/rejection, please contact us at irmmw-thz2016@fotonik.dtu.dk. We will then re-send the notification.

If you find any errors regarding title, presenting author or similar in the technical program, please notify us immediately at irmmw-thz2016@fotonik.dtu.dk so that we can get the correct information into the program.

Legacy information – After acceptance of your 1-page abstract (notification 15. June 2016): In order for your paper to appear in the conference proceedings that will be distributed to all participants, you MUST REPLACE your one-page abstract with a full paper before the deadline of 15. July 2016 (extended from July 6). Full papers must be converted to PDF format using the IEEE PDF eXpress web site, before they are uploaded to the conference database.

Additional instructions for your upload of the extended abstract (please check especially 7-8-9):

  1. Create your two-page abstract (maximum 3 pages for keynote presentations) working from either the file that you already generated for the initial submission, or by using the IRMMW-THz2016_final_abstract_template.docx (MS Word users) or the LaTeX template that can be downloaded HERE. Do not exceed the page restrictions, and do not number the pages.
  2. Convert your file to PDF format using the IEEE PDF eXpress web site. Use Conference ID: 36522x. NOTE: PDF files that are not IEEE-compliant will not be published in the conference proceedings.
  3. You need to register yourself at the IEEE PDF eXpress web site. You may have an exisiting account from previous submissions, otherwise the system allows you to create a new account. After upload of your file to the web site, it will convert the file to the correct pdf format, and ensure that all details are as expected by the IEEE. The converted pdf file will be mailed back to you, typically within a few minutes (depending on the load on the server).
  4. Go to the submitter login page and log in, using the username (same as the paper ID) and password mailed to you when you submitted the one-page abstract. If for some reason you did not receive the confirmation mail, or lost your username/password, contact us at irmmw-thz2016@fotonik.dtu.dk..
  5. Click the “Edit abstract details and upload final, extended paper” link on the overview page after log-in.
  6. Proceed through the indicated pages, checking once again your submission information (author info, summary, title etc.).
  7. Check that all information is included and correct – here are the most commonly observed pitfalls from the initial submission:
    1. The title (first entry on the first page of the form) is your title (Dr. Mr. Ms. Prof. etc.) and not the title of the paper.
    2. The address to be entered is by default NOT your private address, but your organizational address.
    3. Please check that you have a short summary of your paper (text only) entered in the correct field – we need this for the program booklet.
    4. You can see your uploaded pdf file ONLY on the “Attach…” pop-up page where the file is actually uploaded.
  8. DO NOT change the topic category to which your paper is assigned, and DO NOT change preferred presentation form between oral, poster, etc.
  9. Please make sure that the presenting author information is correct, as we need this information for the session planning and the program booklet.
  10. If not already completed, you will be redirected to the IEEE Copyright process. Complete the indicated steps and click RETURN to be directed back to the paper upload process for the final step.
  11. Look over all the information and remember to click FINISH to complete the process. 
  12. You should receive an email acknowledgement form from us indicating that your paper update process completed successfully. This email contains a pdf file with the information, including the log-in and password information for access to the abstract.

 

Legacy information – Please carefully read and follow the instructions below before submitting your abstract.

The abstract submission process is in two parts. Initially, you must submit a one-page abstract (see instructions below). If your abstract is accepted for the conference, you must subsequently upload an extended version of the abstract (two pages for poster and oral contributions, three pages for keynote talks, and four pages for plenary talks). This extended version will be included in the conference proceedings, and published by the IEEE.

Please do not resubmit abstracts, as this will block up the system. Please email us instead and we will help to correct any problems related to the submission of your abstract.

Abstract Submission Process

July 2016. Full papers must be converted to PDF format using the IEEE PDF eXpress web site, before they are uploaded to the conference database.

We have tested this conversion and upload process several times, and we believe that these instructions are comprehensive and accurate. However, if you find anything that seems unclear or incorrect, we will appreciate an email to irmmw-thz2016@fotonik.dtu.dk to notify us of the problem.

Summary Instructions:

  4. Go to the abstract submission page and fill out information about the submitting author.
  5. Click the “Attach paper” link on the second page.
  6. Proceed through the indicated pages, checking your submission information (author info, summary, title etc.).
  7. After adding information about your co-authors, when you click NEXT you will be redirected to the IEEE Copyright process.
  8. Complete the indicated steps and click RETURN to be directed back to the paper upload process for the final step. You MUST click RETURN to proceed to the final step of the submission process.
  9. Look over all the information and click FINISH to complete the process. You MUST click FINISH to receive confirmation of your submission.
  10. You should receive an email acknowledgement form from us indicating that your paper upload process completed successfully. This email contains a pdf file with the information, including the log-in and password information for access to the abstract.

If your ABSTRACT submission is accepted for presentation at IRMMW-THz 2016, you will be notified by email of the procedures for submission of your full paper by 30 June 2016. In the final paper upload process, you will be REQUIRED to fill in an IEEE Copyright form in order for your paper to appear in IEEEXplore.
